Local firm keeps pay rolling

Long gone are the days when business owners issued handwritten paychecks and pay stubs to employees.

Computers, software, growing company payroll departments and giant service providers like ADP changed the landscape forever.

In today’s market, it’s not even necessary to receive a physical paycheck; employers and employees routinely opt for the convenience and security of having paychecks automatically deposited to personal bank accounts.

While the ease of calculating and issuing a paycheck has improved, the complexity of keeping up with the continual changes in payroll management has grown dramatically.

Businesses have to contend with ever-changing tax withholdings at all levels of government, managing a variety of benefit options elected by employees, wage garnishments, disability, workers’ compensation adjustments and managing last-minute changes in the law, such as the recent reduction in the amount of Social Security withholding for employees in the year 2011.

Federal legislation reduced the Social Security withholding for employees by 2 percent just three weeks ago as a stimulus incentive. The change took effect Jan. 1.

Tackling payroll complexity can be overwhelming for most businesses successful enough to be in business but small enough they’re unable to hire payroll specialists.

Yet they can be at risk if tax changes and laws are not adhered to correctly.

The company processes payroll for clients of all sizes, from those with one to two employees all the way up to hundreds of employees. Payroll Providers co-owner Deborah Grandinetti said the average company her firm serves has 15 to 20 employees.

“A lot of small businesses think our service is going to be too expensive,” Grandinetti said. “But we’re able to keep pricing much more competitive than the big national companies because we don’t have the same overhead expenses.”

Grandinetti said her firm handles all the calculations for clients and specializes in hiring tax credits for enterprise zones.

“We help our clients take advantage of any tax credits as they apply to payroll,” she said.

A lot of businesses like to work with a local, smaller payroll company, according to Grandinetti. She said the payroll processing firm’s primary focus is personal attention paid to clients.

“We’ll prepare the workers’ compensation reports employers are required to submit,” Grandinetti said.
She said her firm makes it easy to prepare for the audits by verifying payroll on a regular basis to comply with workers’ compensation insurance regulations.

The cost of using Payroll Providers services is based on the number of employees a company has on payroll.

Companies submit their payroll information, with hours worked, to Payroll Providers. The company’s software makes all the calculations and issues payroll on behalf of a client.

Payroll Providers accepts payroll information in all forms, from handwritten time cards to system reports used by the client.

For businesses that would like an improved means of collecting employee information in terms of how many hours each person worked for every pay period, the firm also works with a time and attendance.

There are a number of options available to Payroll Providers clients, from time clocks that swipe cards to punch-card systems and even Internet log-in services.

Payroll Providers offers very simple to very sophisticated time-and-attendance options to clients depending on their needs.

The local payroll-processing firm creates and exports files for clients after each payroll period, which clients can import directly into their QuickBooks accounting records, saving companies a lot of data-entry time so they do not have to re-key all the payroll information into their own accounting reports.

Payroll Providers also keeps employer clients apprised of all changes in laws and government withholdings.

It is predicted that payroll services will only continue to grow as tax and other laws affecting payroll continue to change faster and become more complex.

“We take the headache out of it,” Grandinetti said. “The biggest part of our service is helping businesses stay in compliance with all the federal- and state-tax due dates, employer and employee portion of taxes due to keep our clients in compliance and out of trouble.”

Payroll Providers offers basic payroll services, in addition to payroll processing and paycheck depositing, such as current and year-to-date payroll registers, new hire registers, payments of all payroll taxes and preparation of 941 quarterly forms, 940 federal unemployment forms and state quarterly and annual returns.

The firm also provides W-2, W-3 and 1099 earning statements for businesses or independent contractors. Payroll Providers prepares the 1096 forms required of a company to submit with a summary of information on those forms being sent to the IRS.

Optional services offered include the time-and-attendance system, general ledger reporting, 401(k) reports, vendor checks, retirement plans, certified payrolls and more.

“The majority of our clients are local, but we now have some clients now in other states,” Grandinetti said. “Some moved out of state and some clients came through referrals.”

The payroll industry is pretty recession proof, Grandinetti said. While some clients have closed their businesses, a lot of companies are still doing just fine.
